Convert Cash Activity Tables for V17 Upgrades

Eagle Accounting clients that upgrade to the V17 release can run the cash activity conversion upgrade, which became available as part of the V17.2.1 accounting software release. The purpose of this conversion is to provide better cash reporting in the near future and also aid in the support of the settlement cash matching that is available in V17. 

Before You Begin

Before you convert cash activity, review the following information:

  • The conversion applies only to Eagle clients that upgrade to V17 from a prior release. It does not apply to Eagle clients that install V17 as their initial release.

  • If the conversion is not complete, you cannot use cash matching.

  • Eagle plans to remove the legacy cash activity tables in a future release but cannot remove those tables until the conversion is complete.

  • You do not need to run the conversion for all positions in the upgrade window. You can phase in the conversion over time. Daily cash processing post-upgrade continues to support both converted positions and unconverted positions.

About the Conversion Tasks

For each phase of your conversion, you can perform the following tasks: 

  1. In Accounting Center, convert the legacy data, export the results to Microsoft Excel, modify the results, and create a message file for upload purposes.

  2. In Automation Center, process the text file using a message stream.

  3. Reconcile the cash balances. 

Eagle recommends that you run this process during off hours rather than during the business/production window.

Convert Cash Activity and Create a Message File

In the Cash Activity Table - Conversion Wrapper panel, Eagle Accounting clients that upgrade from a release prior to V17 can convert their cash activity from the legacy cash activity tables to the new cash activity tables available with Eagle's V17 release. This panel generates output in the form of STAR tag value that you drop into the message stream, eagle_default_in_star_enginemessage. The panel creates the event messages. However, the panel sends none of the events displayed to the engine. You can convert cash activity for a single Process Center or for all Process Centers.

To convert cash activity and create a message file:

  1. In Accounting Center, in the left navigation pane, click Setup > Admin > ESTAR Table Maintenance > Cash Activity Table - Conversion Wrapper. 
    You see the Cash Activity Table - Conversion Wrapper panel. The Event Type, CASHACTCONV_WRAPPER, appears.

  2. In the Partition field, select an entity partition code.
    Entity partitioning is used for strategic high volume clients that require partitioning of the ESTAR database schema. The conversion applies to partition 1 (ESTAR) by default. If the database has multiple partitions, you can click the lookup to change the partition to run the conversion against a different partition.

  3. In the Process Center field, select a value if the conversion applies to a single process center. Otherwise, leave the field blank.

  4. In the Conversion Status field, select a value if the conversion applies to a specific entity status.

  5. Click Submit.
    You see the Show All results tab, which displays the entity-level STAR messages created for the event results. 

  6. In the Show All tab, right-click one of the rows, and then click Export To Excel. 
    You see a Microsoft Excel window with the conversion results rows.

  7. Delete line 1, which displays the text, mt type.

  8. On the File menu, click Save As, and save the Excel file locally as a Text (Tab delimited) file.
    You can save your changes to a .txt file on your local desktop. Note the file name and location where you save the text file. You must select the file in this location when you submit the text file to a message stream for processing.

  9. If you see a Microsoft Excel message informing you that the file may contain features that are not compatible with Text (Tab delimited), click Yes to indicate that you want to keep the workbook in this format. 
    This message can appear depending on the version of Microsoft Windows you are using. 

  10. After you save the text file, close that file. 
    Automation Center does not allow you to upload a file if the file is still open. 

Submit the Text File to the Message Stream for Processing

After you use the Cash Activity Table - Conversion Wrapper panel to convert cash activity, you can submit the text file you created to the message stream for processing.

To submit the text file to the message stream for processing:

  1. In Automation Center, in the left navigation pane, click Automation Desk > Events. 
    You see the Events workspace.

  2. Select the stream named eagle_default_in_star_enginemessage.
    To locate this stream, you can expand the Search Details Pane, and search for results with an Event Type of Message Stream Process. Or you can search for an Event Name of eagle_default_in_star_enginemessage.

  3. Right-click the eagle_default_in_star_enginemessage event row, and then click Send Data.
    You see the Open dialog box. 

  4. Select the Text (tab delimited) file in the location where you created it during the cash activity conversion, and click Open.
    The system submits the text file to the message stream for processing.

  5. If you want to review the progress of the event processing, right-click the eagle_default_in_star_enginemessage event row, and then click Last 50.
    You see the Message Status workspace with the message details. 

  6. If you are processing more than 50 entities, you can modify the search criteria.
    For example, in the Message Status workspace's Search Details Pane, increase the Max Row box value or change the Date Range values. 

In the release V17.2.2 and earlier, the message's completion time stamp is not always accurate. As a result, spawned position events can still run after the completion time specified. An update is planned for an upcoming release to correct the completion time. 

Reconcile the Cash Activity Table Conversion 

In the Cash Activity Table Conversion Recon panel, you can reconcile cash balances between the legacy ESTAR_CASH_POSITION table and the new TRADED_CASH_BALANCE and SETTLED_CASH_BALANCE tables. This panel submits the MTQUERY RECON_CASH_CONV event. You can run the reconciliation at the entity level and at the position level. If you run the conversion multiple times, the query retrieves the most current balances.

The basis of this data is the conversion log table, so that the recon does not display data for positions that did not go through the conversion process. The recon shows traded and settled balances for the legacy and new tables. It breaks down the results to principal and income cash as well as total balances. If the asset has traded interest (debt security), the total balance should match but the principal and income breakdown will vary based on the traded interest. This occurs because the system breaks it down separately in the new balance tables but does not in the old.

To reconcile the Cash Activity table conversion:

  1. In Accounting Center, in the left navigation pane, click Setup > Admin > ESTAR Table Maintenance > Cash Activity Table Conversion Recon. 
    You see the Cash Activity Table Conversion Recon panel.

  2. Under Entity Information, enter the name or ID of the entity you want to reconcile.
    If you specify an entity, you see the identification number, name, and primary accounting basis for that entity. Otherwise, the results apply to all entities.

  3. Under Security Information, identify the security you want to reconcile.
    You can choose a security based on Cross Reference Type, Issue Name, Ticker, or Cross Reference ID. Otherwise, the results apply to all securities.

  4. In the Report Start Date and Report End Date fields, specify the date range for the data you want to reconcile.
    You can specify a start date, an end date, or both dates. If you do not specify a start or end date, the results apply to all dates. You see the event type, RECON_CASH_CONV.

  5. Click Submit.

Troubleshoot the Cash Activity Table Conversion

After you perform the cash activity conversion to the new cash tables, if you need to override previously uploaded data, you can change the value of tag 989 in the wrapper output events to a value of Y. This overrides any previous conversion data for the entity specified in the event. For example:
