Manage Disclosures

In Portfolio Data Center's Disclosures workspace, you can create disclosure and incorporate them into any type of entity.

A disclosure is a statement that provides additional information about the entity. For example, Composite returns are calculated on an asset-weighted average basis using beginning-of-period values. Disclosures range from simple statements used for internal reporting to detailed footnotes required for GIPS compliance.

With Disclosures, you can do the following:

  • View a summary list of available disclosures.

  • Assign disclosures to a single entity or multiple entities.

  • Create new disclosures for reporting and GIPS compliance.

  • Generate disclosure content with templates that provide text as well as dynamically retrieved data.

  • Edit, duplicate, and delete existing disclosures.

About the Ribbon

The Disclosures workspace's Home tab provides you with set of options to manage disclosures.

Create New

Creates a new disclosure.

Edit

Allows you to assign a disclosure to an entity.

Allows you to review/remove a disclosure assigned to an entity.

Clipboard

Cut

Allows you to remove a selected item from the workspace.

Allows you to select an item in the workspace and copy it to the clipboard.

Allows you to paste an item you copied into the workspace.

Allows you to search, view recent disclosures searches, and save search criteria for reuse.

Find

Enables you to find data in the workspace.

View Row

Provides a vertical snapshot of the data in a row.

Refresh

Refresh Screen

Refreshes the result in the workspace.

Distribution

Export

Exports the data displayed in the workspace to an Excel,  CSV or .txt file.

Email

Allows to email the data to specified recipients.

Create Disclosures

In the Create New Disclosure page, you can create disclosures.

To define a disclosure:

  1. In Portfolio Data Center, from the left navigation, click Setup > Disclosures.
    You see the Disclosures Summary workspace with the available list of disclosures.

  2. On the Home tab, in the Manage group, click Create New. 
    You see the Create New Disclosures page.

  3. Select an existing disclosure type from the Type list or select Add New Disclosure Type to create a new disclosure type.

  4. Enter a name for the disclosure in the Name box.

  5. Select the Effective Date for the disclosure, which the system displays it on the disclosure information reports.
    Note: If a disclosure is assigned to an entity as of 12/31/2017, but the Effective Date is 03/31/2018, then the record is not displayed on the reports until 03/31/2018. If the Effective Date is 12/31/2017 but a disclosure is not assigned to an entity until 03/31/2018, then the record is not displayed on reports until 03/31/2018.

  6. Select a template to create the disclosure from the Select Template list.
    You see the text provided for the template in the Text area.

  7. You can edit the standard text and add new text, if needed.
    Note: If you add a field, then the template automatically becomes dynamic.

  8. Click the Field list to embed a field for the description. Otherwise select the field by using the Advanced Search (ellipsis) icon next to the list.

  9. Click Add to Description.
    You see text and the embedded field in the View Test section.

  10. Add more descriptions and embedded fields, as needed.

  11. Click View as Paragraph to see the combined statements of the disclosure.

  12. After adding the required descriptions and embedded fields, click Save Description.
    You see the saved description in the List of Descriptions section.

  13. Once you complete defining the disclosure, click Save Disclosure.
    You see a dialog box confirming the disclosure is saved successfully.

  14. Click Create Another to open a new workspace or Finish to close.

Edit Disclosures

In the Edit Disclosure page, you can edit the disclosures.

To edit disclosures:

  1. In Portfolio Data Center, from the left navigation, click Setup > Disclosures.
    You see the Disclosures Summary workspace with the available list of disclosures.

  2. Select the disclosure you want to edit from the Disclosure Summary workspace.

  3. Double-click on the disclosure row. Or click Edit.
    You see the Edit Disclosure page.

  4. Review the information, make the appropriate changes, and click Save Disclosure.
    You can see the modified disclosure in the refreshed list.

Delete Disclosures

In the Disclosure Summary workspace, you can delete the disclosures.

To delete disclosures:

  1. In Portfolio Data Center, from the left navigation, click Setup > Disclosures.
    You see the Disclosures Summary workspace with the available list of disclosures.

  2. Select the disclosure you want to delete from the Disclosure Summary workspace.

  3. On the Home tab, in the Manage group, click Delete.
    You see the confirmation box to confirm deletion.

  4. Click OK to confirm deletion.
    You see the disclosure no longer appears in the list of available disclosures.

Duplicate Disclosure

In the Disclosure Summary workspace, you can duplicate the disclosures.

To duplicate disclosures:

  1. In Portfolio Data Center, from the left navigation, click Setup > Disclosures.
    You see the Disclosures Summary workspace with the available list of disclosures.

  2. Select the disclosure you want to duplicate.

  3. On the Home tab, in the Manage group, click Duplicate.
    You see the Duplicate a Disclosure dialog box.

  4. In the Disclosure Name box, type a name for the duplicated disclosure.
    By default, you see the name of the selected disclosure.

  5. Click OK to duplicate the disclosure.
    The system generates the duplicate disclosure and lists it in the Disclosure Summary workspace.

Assign Disclosures

In the Disclosure Summary workspace, you can assign disclosures to entities.

To assign disclosures:

  1. In Portfolio Data Center, from the left navigation, click Setup > Disclosures.
    You see the Disclosures workspace with the available list of disclosures.

  2. Select the disclosure you want to assign from the Disclosure Summary workspace.

  3. On the Home tab, in the Manage group, click Assign.
    You see the Assign Entities page.

  4. In the Assign to selected entities section, select the appropriate Date option.
    – As of. You can assign disclosures to entities as of a specific effective date. If you choose this option, you can use the Date Selector to specify a date.
    – Since Inception Date. You can use this option to ensure that the disclosure is assigned as of the Inception Date of each entity.

  5. Click the Select Entities button to assign the entities.
    You see the Select Entities window which allows you to set up search criteria. 

  6. Select the required criteria and click Search.
    You see the Entity list populated with available entities.

  7. Select one or more entities.
    You see the entities in the Selected section.

  8. Click the x next to an entity to remove it from the list, if necessary.

  9. Click OK.
    You see the selected entities on the Assigned Entities section.

  10. Click Save.
    You see a message confirming the assignment of the entities to the disclosure.

  11. Click OK to close the message.

Review/Remove Disclosures

In the Disclosure Summary workspace, you can review or remove disclosures assigned to entities.

To review or remove disclosures:

  1. In Portfolio Data Center, from the left navigation, click Setup > Disclosures.
    You see the Disclosures workspace with the available list of disclosures.

  2. Select the disclosure you want to review or remove from the Disclosure Summary workspace.
    You see the Review/Remove workspace with the list of entities, the disclosure is assigned to.

  3. Select one or more entities you want to remove from the assigned list.

  4. Click Remove Selected to remove the mapping of the entity to the disclosure.
    A confirmation message to confirm the removal appears.

  5. Click Yes to remove the assignment.
    You see the entity is no longer assigned to the disclosure.Â
