As managers, you have privileged functions that allow you to use the Cash Recon console to manually assign breaks to team members. Or, you can also apply business rules to automatically assign breaks. You can review an aged list of breaks and manually approve breaks as team members perform their duties analyzing and resolving breaks.

Assign Breaks

Cash Recon match results are displayed on the Cash Recon Exceptions report. As a privileged user you can assign breaks to your staff for research and resolution. This option is restricted to authorized users.

To assign a break for research and manual resolution to a subordinate team member:

  1. Click the Query Result tab for the Cash Recon Exceptions report and scroll to the break rows you want to assign.
  2. Select the break rows to assign and right click Audit action.
    You see the Audit Action dialog box.
  3. Select the Assign to User field and choose from the list of LAN ids, as authorized for the system environment.
    You can assign to a workflow group or an individual user.
  4. Enter CommentCategory, or Sub-Category information, as required.
  5. Select the Expiration Date check box and enter the effective date you want the comment to automatically close.
  6. Click Submit to update the selected breaks for the assignment details.

Automatically Assign Breaks

You can use the Cash Recon console to automatically assign breaks after you define exception assignment rules. You can also submit automatic assignment processing using a message stream scheduled to run after the Run Match Now message stream.

To automatically classify and assign breaks to team members:

  1. From the Cash Recon console, click the Tools option and  then click Run Cash Assignments.
    You see the Run Assignment Rule dialog box.
    NOTE: You can click the Matching Profile drop down and select a previously saved set of options for reuse.
  2. Click the Left Source drop down and select the source for the left side of the results to process for assignment.
  3. Click the Right Source drop down and select the source for the right side of the results to process for assignment.
  4. Enter the Date with the effective date of the match results.
  5. Select the Close Comments check box to automatically close the comment upon reconciliation. Or, clear check box to maintain the history of comments for this break.
  6. Click Assignment Rule and select the assignment rule you want to use to apply comments and assignments.
  7. Select and complete the entity information as required.
    Options include:
    –  All Entities
    –  Process Center
    –  Entity List
    –  One Entity
  8. Click Submit.
    The comments and assignments are posted.

Review Aged Breaks

As cash match results are reviewed and handled by the reconciliation team, comments entered by the team are aged on the database. The age of the comment is the number of consecutive business days the break remains with the same comment. You can review the ages of breaks on cash activity on the Query Exceptions Comments report, including the number of days aged and the current status of the break.

To review aged breaks on cash activity:

  1. From the Accounting Center window, select Reconciliation in the left navigation and then click Admin and Aged Report.
  2. Double click Query Exceptions Comments.
    You see the Query Exceptions Comments entry panel.
  3. Complete the Query Exceptions Comments panel options as required to filter the report results.
  4. Click Submit.
    You see the Submit Query dialog box.
  5. Click Grid Report.
    You see the multi-tab grid report on your desktop.
  6. Click the Cash tab to view the aged reconciliation report for cash activity.

    You can automatically close/delete comments by selecting the Close Comments option on the Run Assignment Rule dialog box.

Approve Breaks

As a privileged user, you can clear the assigned work from the user's queue by marking break rows as approved. This option is appropriate when your team determines that no suitable record will exist for the unmatched records. The approval process is used primarily for the few out of balance breaks the reconciliation team is otherwise unable to process to completion.

To approve breaks, with the Cash Recon Exceptions report available, select the rows to approve and then right click Approve. The exception updates to Approved status and the Cash Recon Exceptions report refreshes to display the updated information.
