In Portfolio Data Center, new Entity Level authorizations are an optional workflow. When a user creates a new entity, the system does not releases it completely, until a manager or administrator approves the request.
Configure Entity Level Authorization
PDC allows you to set up Entity Level authorization using the combination of System and Policy level settings. First, you need to configure the system settings to authorize new entity setup, and then enable 'Authorization required" option in the policy setup.
Set Up Entity Level Authorization in System Settings
New entity authorizations are controlled using the system settings. You can use this option to generate authorizations for new entity setup.
To set up entity level authorization:
In Portfolio Data Center, from the left navigation, click Setup > System Settings.
You see the System Settings workspace with the available list of settings.Select the System Item 38 for 'Authorize new fund setup'.
This setting regulates the new entity authorizations. By default, the setting is configured as 0 (turned off).Double-click the respective Value column and set it as 1 to enable Entity Level authorization.
You see a warning message to confirm the modified setting configuration.Click Yes to confirm the modified setting changes.
After enabling the system setting, you need to configure the policy workflow to trigger the new entity authorization.You can alter the setting any time, but the best practice is to set this option on initial configuration of PDC and leave it unchanged unless and until the business requirements change. This is a default system practice.
Set Up Entity Level Authorization in Policy Settings
New entity authorizations are controlled at the policy level. You can use this to trigger new entity authorizations for select entity types as defined in the policy setup and criteria.
To set up entity level authorization:
In Portfolio Data Center, from the left navigation, select Setup > Policies.
You see the Policies workspace with the available list of policies.Select the policy you want to generate the Entity Level authorization.
You can also enable the Entity Level authorization when you initially create the policy.Select the Authorization Required check box to indicate that the entity requires authorization for setup.
If you select this option, the system does not release the entity even if it passes all validations, until the new entity setup is authorized.Click Save to save the changes.
Notifications for new entity authorizations are displayed as exceptions on the Entity Summary screen within the Portfolio Desk. Once you highlight a particular entity in the Entity pane, the Exception pane lists the pending authorization with the error message 'New entity: Authorization Required'.
